Privacy Policy

This Privacy Policy explains how QuoteKit ("we", "us", "our") collects, uses, and shares information when you use our website, mobile-responsive app, and proposal generation services (the "Service"). By using QuoteKit you agree to the practices described below.

1. Information we collect

Account information

When you create an account we collect your name, email address, business name, phone number, contractor license number (optional), and your password (stored as a salted hash). If you sign in with Google we receive your name, email address, and profile photo from Google.

Proposal content

We store the information you enter into the proposal generator — including client names, job addresses, scopes of work, pricing, payment terms, and any logos or branding you upload — so we can produce and store your proposals.

Billing information

Subscription payments are processed by Stripe. We do not receive or store full credit card numbers. We retain your Stripe customer and subscription identifiers, plan tier, billing status, and invoice history.

Usage information

We collect log data (IP address, browser, device type, pages viewed, referring URL, timestamps) and product analytics about how the Service is used so we can improve performance, debug issues, and prevent abuse.

2. How we use information

• To provide, maintain, and improve the Service.
• To generate AI-written proposals from the inputs you submit.
• To authenticate you, secure your account, and detect fraud or abuse.
• To process subscriptions, refunds, and renewals.
• To send transactional email (receipts, password resets, account notices).
• To send product updates and tips — you can opt out at any time.

3. AI processing

Proposal text is generated by third-party large language model providers. The inputs you submit (trade, job type, scope, pricing, client name, etc.) are sent to these providers solely to generate your proposal. We have contractual terms in place with our model providers that prohibit them from training their models on your inputs or outputs.

4. How we share information

We share information only with:

• Service providers who run our infrastructure, including our cloud database and authentication provider, Stripe (payments), and our AI model providers.
• Recipients you choose when you share a proposal link or send a PDF to a client.
• Legal authorities when required by law, subpoena, or to protect the rights, safety, or property of QuoteKit or its users.
• A successor in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell your personal information.

5. Data retention

We retain account and proposal data for as long as your account is active. If you delete your account, we delete your proposals and personal information within 30 days, except for records we must retain for tax, accounting, or legal reasons (typically up to 7 years for billing records).

6. Security

We use TLS in transit, encryption at rest, row-level security on user data, and strict access controls for our staff. No system is perfectly secure, and you are responsible for keeping your password and login credentials confidential.

7. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. You can exercise most of these rights directly from your profile page, or by emailing privacy@quotekit.app.

8. Cookies

We use first-party cookies and similar technologies to keep you signed in, remember your preferences, and measure aggregate product usage. You can control cookies through your browser settings, but disabling them may break parts of the Service.

9. Children

QuoteKit is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes we will notify you by email or in-app notice before the changes take effect.
